Rutgers, The State University of New Jersey is seeking an Executive Assistant for the Public Health Research Institute within the New Jersey Medical School. Under the direction of the Director of the Public Health Research Institute and Center for Emerging Pathogens, the Executive Assistant provides advanced, diversified and confidential administrative and management support to the Directors. Exercises considerable discretion and independent judgement in handling day-to-day matters. Likewise, identifies internal matters affecting the institute and center; conceptualizes plans, recommends and implements courses of action for the resolution of issues and the maintenance of positive operating climate.
Duties:
Among the key duties of this position are the following for Vacancy for Executive Assistant in the USA:
- Provides administrative support to the Director, leadership team of PHRI, and faculty.
- Also, Plans and schedules the work of the Institute to make maximum effective utilization of time, resources, equipment and material within budgetary requirements.
- Likewise, conducts research and studies on assigned matters and prepares reports with background material, providing input and support for policy decisions and formulation.
- Coordinates projects and prepares correspondence, reports, and handles fiscal procedures for the institute.
- Additionally, identifies institute’s needs and maintain confidential files and correspondence.
- Moreover, maintains or oversees the Director’s calendar, including meetings, correspondence and travel arrangements.
Minimum Education and Experience
- Bachelor’s Degree in Business/Public Administration or related field plus a minimum three (3) years of progressively more responsible experience in financial, operational, and personnel management, preferably in medical/higher education settings.
- Also, at least five (5) years of related experience will be considered in lieu of the educational qualification.
Required Knowledge, Skills, and Abilities
- Knowledge in clinical practice management, overseeing staffing, and financial reporting.
- Similarly, strong multi-directional verbal and written communication skills.
Physical Demands and Work Environment
- May require some minimal lifting (examples: computers and printers) and setting up tables for meetings and events.
